What is an AI agent? A chat explains the report, an agent builds it

A chat tells you how to build the report. An AI agent opens the files and builds it. What that difference means, and how to give an agent work without it breaking anything.

It is the end of the month. Someone in the office asks an AI chat for the fastest way to build a report from a few sales exports and gets a good set of instructions. Then they spend the rest of the afternoon doing it by hand. An AI agent would have built the report itself, and that is the shortest answer to what an AI agent is.

The difference looks small until you count how many of those afternoons there are in a year.

A chat answers, an agent does the work

A chat is a conversation. You ask and you get an answer or a finished piece of text. It sees only what you paste in or attach. Whatever happens with the answer after that is up to you.

An agent gets a task instead of a question. It opens the files, uses tools, checks the result and saves the finished file. It works in a loop. It has a goal, makes a plan, takes a step, looks at what came out and takes the next one.

It stops when the goal is reached or when it runs into something it has to ask you about. So the question of how an AI agent differs from a chat comes down to who does the work.

In the products themselves the line is getting blurry. In ChatGPT you now pick between Chat and Work. In Claude, on some accounts, both ways of working already live in one conversation.

What matters more than the name is what the AI can reach. Only the chat window, or your files and tools as well.

What is an AI agent, shown on one report

Take the same report. You copy the exports into a separate folder, point the agent at it and write something like this.

Make a sales summary for September by salesperson from the files in this folder. Save it as a new spreadsheet in the same folder. Do not change the source files and do not send anything.

The agent opens the files. If one export has dates in a different format from the others, it notices and makes them match. It does the sums, compares its total with the total in the export and saves the spreadsheet. At the end it tells you what it did and what did not add up.

That does not mean the result is always right. Agents make mistakes too. The difference is that you check a finished spreadsheet instead of clicking through instructions yourself.

A chat still has its place. When you need a text or an idea, an agent adds nothing. It is useful where there is concrete work on files waiting to be done.

Which tools can do this today

Claude in the desktop app. Anthropic calls this way of working Cowork. You give Claude access to a folder you choose, and it reads, organises and creates files there. It reaches files on your computer only through the desktop app and only while the app is open. Before it permanently deletes a file, it asks you by default.

Claude Code. The same idea for developers. It runs in the terminal and in code editors, and it edits files and runs commands across a whole project. Most business owners will not need it, but if someone in your company writes code, it is a tool for them.

ChatGPT Work. OpenAI describes this mode as an agent for longer tasks that end with a finished document or spreadsheet. It is available on eligible paid plans. The earlier ChatGPT agent is no longer available, and OpenAI points people to Work instead.

Names and menus in these products change often. The principle stays the same.

How to give an agent work without it breaking anything

An agent has real access to your files. A mistake is no longer bad advice. It is a changed or deleted file. Three habits are enough to start with:

  • A separate folder with copies. Do not give the agent your whole disk. Make a folder with copies of only the files it needs, and point it at that folder. Anthropic gives the same advice and adds that you should keep backups of important files.
  • Confirmations for deleting and sending. Keep the mode where the agent asks before it acts. It matters most when something is about to disappear or leave the company as an email or an order.
  • Limits in the request. Write down plainly what it must not do, as in the example above. The agent sticks to the goal, and the boundaries have to come from you.

If the same report should build itself every month with nobody at the computer, that is a job for automation that runs on its own, not for an agent you start by hand.

To begin, pick one repeating task on files you have copies of. Give it to an agent with a ban on deleting and sending, and compare the result with what you would have done yourself.
